How to Reschedule a Meeting Politely: 8 Message Templates

Rescheduling is different from cancelling. You still want the meeting to happen, so the message has to do two jobs: take responsibility for the change, and make it easy for the other person to say yes to a new time. The best reschedule messages leave almost no work for the recipient.

Offer times, don't ask "when suits you?"

An open-ended "let me know what works" starts a slow back-and-forth. Offering two or three specific options turns it into a one-word reply. If you can, link your calendar or propose times in the same message.

8 message templates

  1. Something's come up and I need to move our meeting. Would Thursday at 2pm or Friday at 10am work instead? The standard: acknowledge, then give two clear options.
  2. Apologies for the change. I have a conflict at the time we'd planned. Could we shift to [day/time]? Good for colleagues when you have one preferred alternative.
  3. I need to reschedule our call this afternoon. I'll send a fresh invite shortly. Does later this week work? Signals you'll do the admin of rebooking.
  4. I'm sorry to ask, but could we push this back by a day? I want to be properly prepared for it. A reason that reads as respect for the meeting.
  5. Unfortunately I can't make our meeting on [date]. I'd still like to catch up. Are any of these times suitable: [options]? Clear and professional for clients.
  6. Quick heads up: I need to reschedule. I'm free all of [day] if that suits you. Short and informal for a close teammate.
  7. I'm afraid I need to move our meeting due to a prior commitment. Please let me know which of the following times work best. A formal register for senior stakeholders.
  8. I need to move our check-in. Same time next week, or would you prefer a different slot? Easy default for recurring one-to-ones.

A few quick tips

  • Reschedule early. Notice is the most valuable thing you can give the other person.
  • Be flexible about the new time. If you're the one moving it, bend towards their calendar.
  • Send an updated invite. A message alone doesn't change anyone's calendar.
  • Keep the reason short. "A conflict came up" is almost always enough.
