Writing a School Absence Note: What to Say (and What to Skip)

A school absence note doesn't need to be long, and it definitely doesn't need to read like a formal statement. Most teachers and school offices just need three things: who's absent, when, and a brief reason. Everything past that is optional.

What actually needs to be in it

At minimum: your child's name, the date(s) of absence, and a short reason category (unwell, appointment, family matter, and so on). Schools generally don't need — and don't expect — a detailed medical explanation. If your child will be missing more than a day or two, it's worth mentioning that too, so the school isn't left guessing.

1. Please excuse [child]'s absence today, [date]. They were feeling unwell. The simplest version, works for almost any school.
2. [Child] will be absent today due to a doctor's appointment. Thank you for your understanding. Clear and specific without oversharing.
3. Please note [child] was absent on [date] due to illness. They should be back tomorrow. Adds a return-date expectation.
4. [Child] is unwell and will be out for the rest of the week. I'll update the school if that changes. Useful for a multi-day absence.
5. Due to a family matter, [child] will be absent today. Please let me know if any forms are needed. Keeps the reason general while staying cooperative.
6. [Child] won't be in today — a family emergency came up this morning. I'll follow up with any details needed. Appropriate for a sudden, unplanned absence.
7. Please excuse [child]'s absence on [date] for a scheduled medical appointment. Happy to provide documentation if required. Good when a school specifically asks for appointment notes.
8. [Child] is observing a religious holiday on [date] and will not be attending school. Thank you for accommodating this. Clear and respectful for planned religious absences.
9. Due to a bereavement in the family, [child] will be absent this week. We'll be in touch about returning. A gentle way to notify the school during a difficult time.
10. [Child] was absent on [date] due to illness. Could you let me know what was missed so we can catch up? Adds a request for missed work.

A few quick tips

• Send it the same day if you can. Some schools have a window for notes to count as "excused" rather than unexplained.
• Check how your school wants notes submitted. Email, a parent portal, or a paper note — using the expected channel avoids it getting lost.
• You're allowed to keep the reason general. "Unwell" or "a family matter" is a complete answer; you don't owe more detail than that.
• Mention missed work if it matters to you. A quick ask about assignments shows you're on top of it, without extra back-and-forth.
